Private event space NYC: how to choose it, budget it and book it

A straight-talking guide to choosing a venue, reading a proposal and planning the run-up, with The DL’s rooftop, lounge and bistro as the worked example.

Picking a private event space NYC guests will actually cross town for comes down to three things: a room that fits the crowd, numbers that fit the budget and a team that has run your kind of night before. Get those right and the rest is décor.

Here’s how we’d approach it, using our own building as the worked example: three floors at Delancey and Ludlow on the Lower East Side, each with its own bar and sound, and every one of them available for private events.

Match the room to the crowd

Start with the guest count and the format, then find the room that fits both. It’s the first question for any private event space NYC has to offer, because a 60-person seated dinner and a 300-person party need very different rooms. Many venues quote one capacity for a standing reception and a much smaller one for a seated meal, so ask for both numbers.

Rooftop event space: the third floor

Roughly 5,000 square feet of live trees and hanging greenery under a fully retractable glass roof: open-air in good weather, closed and climate-controlled in rain or winter. It has a large central bar, a DJ booth, four 75-inch panels configured as one 185-inch display and a small outdoor deck with views of the Williamsburg Bridge and the Lower East Side skyline. The Lounge: the second floor

Also called the Red Room: a sexy lounge overlooking the Lower East Side, with velvet banquettes, a gold back bar, an LED wall and a DJ booth with a customizable screen. It has its own restrooms, a private entrance on Ludlow Street and built-in AV.

Le Jardin Bistro: the first floor

Crystal chandeliers, soaring ceilings and a large central marble bar. The kitchen serves French-inspired, modern bistro dinners and weekend brunch, and the room works for seated dinners or cocktail receptions. Le Jardin Bistro has its own site and menus.

The full venue buyout

Floors can be booked on their own or combined, all the way up to the whole building: picture dinner under the chandeliers, the party in The Lounge and the rooftop for the late shift.

Taking more than one floor? Plan the flow before anything else: where guests arrive, where the coats go, where the toasts happen and when the party moves upstairs.

What drives the cost of a venue rental in NYC

Usually it’s the food and drink more than the room. Many event venues in NYC price private events around a food and beverage minimum, an amount you commit to spending, while others charge a flat rental fee and some combine the two. Know which model you’re being quoted before you compare numbers.

Minimums vs rental fees

At The DL, every event starts with a customized proposal. The food and beverage minimum can be met with hosted bar packages, pre-selected menus, guest purchases or a mix, and no guaranteed guest count is required to reach it. A room rental fee may apply if your event needs extra staffing, custom bar programming or major reconfiguration. There’s also an administrative fee, which covers operational costs and is not a gratuity.

Open bar and catering, per person

Open bars run for a two-hour minimum with at least 30 guests, and shots and doubles aren’t included. Here’s how the per-person pricing stacks up:

Run the math on a common format: a two-hour networking reception for 50 guests, with a Standard Spirits open bar ($80) and six passed hors d’oeuvres ($41). That’s $121 a person, or $6,050, before the administrative fee and tax. Each extra hour of that bar adds $35 a person.

Compare quotes per guest

Before you line up proposals from different venues, turn each one into a per-guest number: the full estimated cost divided by your expected headcount. It’s the quickest way to compare a minimum-based quote with a rental-fee quote without getting lost in the line items.

A planning timeline that works

Give yourself more runway than you think. Many hosts start looking three to six months out, and earlier for Saturday nights or a December holiday party, when popular party venues across the city tend to book up first. A timeline that works for most events:

  1. Three to six months out: set the budget, headcount range and format, then shortlist venues and request proposals.
  2. As soon as you decide: lock the date in writing. At The DL, a 50% deposit confirms it.
  3. Six to eight weeks out: choose the bar tier and the food format (passed, buffet or stations), then book extras like a DJ, photo booth or coat check.
  4. Two to three weeks out: confirm AV needs, send any visuals for the screens and finalize outside vendors, including your own DJ if you’re bringing one.
  5. Ten days out: at The DL, the balance is due.
  6. One to two days out: décor and signage arrive. Storage at The DL is limited, so deliveries come in 1–2 days prior, with coordination.
  7. On the night: arrive early, walk the room once, then let the team run it.

Booking a holiday party

December is the busiest stretch of the year for many NYC event venues, so a holiday party needs the longest runway. Pick two or three dates you could live with rather than one, decide early whether it’s a seated dinner or a party, and put the deposit down as soon as the proposal works.

Private event space NYC checklist: what to ask any venue

Ask every venue the same questions, in writing, so you can compare proposals line by line. Here’s the list, with our own answers alongside:

  • What’s the minimum, and what counts toward it? Ours can be met with hosted bar packages, pre-selected menus, guest purchases or a mix, with no guaranteed guest count required.
  • Which fees sit on top, and is any of them a gratuity? Our administrative fee covers operational costs and is not a gratuity; a room rental fee may apply for extra staffing, custom bar programming or major reconfiguration.
  • What does it take to hold the date? A 50% deposit, with the balance due 10 days before the event.
  • What AV is in-house? Sound, a DJ booth, microphones and screens. An AV technician fee applies.
  • Can we bring our own DJ? Yes, outside DJs are permitted. Or add one through us for $500 for a 3–4 hour event.
  • What’s the rain plan? For any rooftop, this is the big one. Ours is a retractable glass roof that closes and keeps the room climate-controlled.
  • Is it truly private? Look for separate entrances and restrooms. The Lounge has both: a private entrance on Ludlow Street and its own restrooms.
  • When can deliveries arrive? Storage is limited, so deliveries come in 1–2 days prior, with coordination.

The DL

AV, sound and screens

Check what’s built in before you rent anything, because in-house AV can save both money and setup time. At The DL, sound, a DJ booth, microphones and screens are in-house, and each floor has its own bar and sound system.

The rooftop runs 14 RCF point-source speakers with subwoofers by GK and BagEnd, and the booth has Pioneer CDJ2000NXS2s and a DJM900NXS2. Four 75-inch panels work together as one 185-inch display for logos, slides or visuals, and The Lounge’s DJ booth has a customizable screen of its own. You can bring your own DJ; an AV technician fee applies.

Planning slides, a logo loop or a video moment? Send the files early and ask for a sound and screen check before doors open. Speeches and presentations are where AV tends to go wrong, so rehearse the handoffs.

Corporate events, holiday parties and everything between

The DL hosts corporate events, brand activations, milestone birthdays, weddings, engagement parties, networking receptions, large-scale private parties, and brunch and dinner events. The format decides the floor more than the occasion does:

  • Corporate events and holiday parties: The Lounge, with its private Ludlow Street entrance, or the rooftop when the whole company comes.
  • Brand activations: the rooftop’s 185-inch display, DJ booth and live greenery give a brand plenty to work with.

  • Weddings and engagement parties: a seated dinner at Le Jardin Bistro, then dancing upstairs.
  • Networking receptions: passed hors d’oeuvres and a hosted bar keep people moving.

  • Large-scale private parties: all three floors, one guest list.

Send an inquiry with your date, headcount and format, and you’ll get a customized proposal back. A 50% deposit confirms the date, and the balance is due 10 days before the event. Start planning your event.

The more detail in the first message, the sharper the proposal. Include:

  • Your date, plus one or two backups
  • A headcount range
  • The format: seated dinner, cocktail reception or party
  • Which floor, or floors, you have in mind
  • Bar and food preferences, and any dietary needs
  • AV needs, and if you’re bringing your own DJ
